In short

Treat every guarded site as its own cost centre, pay every guard through one payroll run with GOSI and the Mudad file, and invoice each client on the same day every month. Aqid ERP is built for ZATCA Phase 2 e-invoicing, prepares the VAT return from the books and runs payroll with GOSI and a WPS file in the Mudad layout. The Growth plan fits, at SAR 111 a month, with a 60-day free trial. Not built yet: There is no guard rostering, shift scheduling or attendance module, and no patrol or incident logging, so keep those in your operations tool and use its totals for payroll.

How it runs

Every site is a cost centre

Set up each guarded site or client contract as a cost centre. Uniforms, equipment and transport are tagged to it and guards' payroll is allocated to it, so each site has its own P&L.

Monthly guarding invoices

Fixed monthly contract fees run as recurring invoices, issued as ZATCA-compliant tax invoices and emailed automatically, with a payment link once you connect a payment provider. Extra guards for an event go on a separate invoice tagged to the same site.

One payroll for all guards

Monthly payroll in SAR with GOSI contributions, end-of-service accruals and the Mudad WPS salary file. Bilingual payslips for every guard.

Guard documents tracked

Iqama, passport and other document dates are kept on each guard's record, with alerts before they expire.

A month at a security company (example)

  1. Say you guard a residential compound under a contract of SAR 60,000 a month. The recurring invoice goes out on the 1st: SAR 60,000 plus 15% VAT of SAR 9,000, total SAR 69,000.
  2. The compound books four extra guards for a weekend event. You invoice SAR 4,000 plus SAR 600 VAT, total SAR 4,600, tagged to the same site.
  3. Payroll for the 14 guards posted there is SAR 42,000, allocated to the site cost centre after payroll runs.
  4. You buy new uniforms for the site at SAR 3,000 plus SAR 450 VAT and pay SAR 2,000 for transport, both tagged to the site.
  5. The site P&L shows SAR 64,000 revenue against SAR 47,000 cost: SAR 17,000 before head office costs. Compare it with your other sites to see which contracts carry the business.

Questions

Can I see profit for each guarded site?

Yes. Set each site up as a cost centre and tag invoices, uniforms and transport to it, and allocate guards' payroll to it.

Does payroll handle GOSI and the Mudad WPS file?

Yes. Payroll calculates GOSI contributions, produces the Mudad WPS salary file and accrues end-of-service for every guard.

Does it schedule guard shifts?

No. There is no rostering or attendance module. Keep your scheduling tool and use its totals when preparing payroll.

Will I be alerted before a guard's iqama expires?

Yes. Document dates on each employee record trigger alerts before expiry.

Are the invoices ZATCA Phase 2 compliant?

Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Which plan do we need?

Growth, because Starter payroll stops at 5 employees.
