How it runs

Memberships as recurring invoices

Set up each monthly plan as a recurring invoice. It is issued on the same day every month and emailed automatically. Share it on WhatsApp from your phone in one tap, and add a payment link once you connect a payment provider.

Annual fees spread month by month

When you invoice a member for a year up front, the fee sits in deferred revenue. It is recognised month by month, so your P&L shows what you actually earned that month.

Trainers and staff on payroll

Run monthly payroll in SAR with GOSI contributions, the Mudad WPS salary file and end-of-service accruals. Iqama and passport expiry alerts come from the employee record.

One P&L per branch or studio

Tag income and bills to a branch or cost centre, such as the ladies' section or the personal training team, allocate payroll cost to it, and see a P&L for each.

A month at a gym (example)

  1. Say you run one gym with 200 members on a monthly plan of SAR 300. The recurring invoices go out on the 1st: SAR 60,000 plus 15% VAT of SAR 9,000, a total of SAR 69,000. With a payment provider connected, members pay through the link on the invoice.
  2. Last month you invoiced twenty members SAR 3,000 each for a full year. That SAR 60,000 went to deferred revenue, and SAR 5,000 is recognised this month, the same as every month until the year is up.
  3. Supplements and drinks from the front shelf sell for SAR 4,000 plus SAR 600 VAT. On Growth, cost of sales posts on each sale at weighted average cost.
  4. The landlord's bill for commercial rent is SAR 25,000 plus SAR 3,750 VAT. Payroll for 8 trainers and 3 front-desk staff runs on the 27th, with GOSI posted and the WPS salary file produced in the Mudad layout for you to upload.
  5. VAT for the month: output VAT of SAR 9,600 on this month's invoices and shelf sales, less SAR 3,750 input VAT on rent, leaves SAR 5,850. The VAT return is prepared from the books.

The parts you will use

Recurring invoices and payment links

Monthly plans bill themselves. Automatic email reminders go out for unpaid invoices, and you can send a statement to any member by email or WhatsApp.

Deferred revenue

Quarterly and annual memberships are recognised over the months they cover, not all on the day they are paid.

Payroll

Trainers and front-desk staff in one monthly run, with GOSI, the Mudad file and bilingual payslips.

Inventory

Supplements, drinks and merchandise as stock items, with stock counts and cost of sales posted on each sale. Growth or Premium.

Fixed assets

Treadmills, racks and fit-out works on the asset register, with depreciation run each month in one click, without a spreadsheet.

VAT and e-invoicing for gyms

Membership fees, personal training and shelf sales carry VAT at 15%. Aqid ERP issues simplified invoices to individual members and tax invoices to companies that buy corporate memberships.

Aqid ERP issues ZATCA Phase 2 e-invoices: UBL 2.1 XML, XAdES signature and QR code. Tax invoices to businesses go for clearance; simplified invoices to members are reported. Once your device is connected, each invoice is cleared or reported to ZATCA as it is issued.

VAT on an annual fee is usually due on the invoice you issue, even though the revenue is recognised over twelve months; agree the tax point for prepayments with your tax adviser. The VAT return is built from the posted entries, so the two always agree.

Questions

Does Aqid ERP handle gym memberships?

There is no memberships module. You run each plan as a recurring invoice that is issued and emailed on the same day every month, with a payment link once you connect a payment provider. Annual fees invoiced up front go to deferred revenue and are recognised month by month.

Are the invoices ZATCA Phase 2 compliant?

Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Can I run payroll for trainers with GOSI and Mudad?

Yes, on every plan. Monthly payroll in SAR posts GOSI contributions, produces the Mudad WPS salary file and accrues end-of-service. Starter covers up to 5 employees; Growth and Premium have no limit.

Can members book classes or check in through Aqid ERP?

No. There is no booking calendar or access control. Keep your gym management app for classes and check-in, and use Aqid ERP for invoicing, VAT, payroll and the books.

Can I see a P&L for each branch?

Yes. Tag invoices, bills and expenses to a branch or cost centre, allocate payroll cost to it, and run a P&L for each.

Can I try it before paying?

Yes. There is a free trial with no card: 60 days for companies that start by 31 December 2026.
