In short

Split a treatment plan into monthly instalments that bill themselves, see what each chair or dentist earns after lab bills, and keep VAT and payroll in order. Aqid ERP is built for ZATCA Phase 2 e-invoicing, prepares the VAT return from the books and runs payroll with GOSI and a WPS file in the Mudad layout. The Growth plan fits, at SAR 111 a month, with a 60-day free trial. Not built yet: Aqid ERP is the accounting, VAT and payroll layer.

How it runs

Treatment plans in instalments

An orthodontic or implant case paid over months becomes a recurring invoice. It is issued on the same day each month and emailed automatically until the plan ends, with a payment link once you connect a payment provider.

Lab bills against the case

Dental lab bills for crowns, bridges and aligners are posted as bills and tagged to the dentist or the case, so you see the margin after lab costs.

Dentists and chairs as cost centres

Make each dentist, chair or branch a cost centre. Tag revenue and materials to it, allocate salary cost to it (re-tag the payroll entry or post an allocation journal), and the P&L shows who and what earns.

Beside your clinic software

Patient charts and appointments stay in your dental software. Daily takings and company invoices come into Aqid ERP for the books and VAT.

A month at a dental clinic (example)

  1. Say a patient starts aligner treatment priced at SAR 12,000 before VAT, paid over 12 months. You set a recurring invoice of SAR 1,000 plus SAR 150 VAT, SAR 1,150 a month, with a payment link.
  2. The dental lab sends a bill for the aligners: SAR 3,000 plus SAR 450 VAT. You tag it to the orthodontist's cost centre. Over the year the case shows SAR 12,000 revenue against SAR 3,000 lab cost.
  3. In the same month the clinic records SAR 40,000 of other treatments that carry VAT, so SAR 6,000 VAT on simplified invoices. A corporate client is billed SAR 10,000 plus SAR 1,500 VAT on a tax invoice cleared through ZATCA.
  4. Output VAT for the month is SAR 150 + SAR 6,000 + SAR 1,500 = SAR 7,650. Input VAT from the lab bill is SAR 450, so SAR 7,200 is due before other purchases.
  5. How VAT applies can depend on the treatment and the patient, so agree your VAT setup with your tax adviser. These figures only show the arithmetic.

VAT and e-invoicing for dental clinics

Once your device is connected with an OTP from the Fatoora portal, invoices are issued through ZATCA e-invoicing Phase 2 with UBL 2.1 XML, a XAdES signature and a QR code. Simplified invoices to patients are reported, and tax invoices to companies and insurers are cleared.

Standard VAT is 15%. If some treatments or patients are treated differently for VAT, agree the treatment with your tax adviser and set it up before invoicing.

The VAT return is prepared from the books, including input VAT on lab and supplier bills.

Questions

Does Aqid ERP issue ZATCA Phase 2 e-invoices?

Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Can patients pay a treatment plan in instalments?

Yes. Set the plan as a recurring invoice. It is emailed each month until the plan ends, with a payment link once a payment provider is connected.

Does it handle payroll and GOSI for clinic staff?

Yes, on every plan: payroll in SAR, GOSI contributions, the Mudad WPS salary file, end-of-service accruals and bilingual payslips. Starter covers up to 5 employees.

Does Aqid ERP keep patient records or appointments?

No. There are no patient charts, no appointments and no insurance claims submission. Keep your dental software for that.

Can I track implant and material stock?

On Growth and Premium, yes, at weighted average cost. There is no batch, serial number or expiry-date tracking.

Can I see what each dentist earns after lab costs?

Yes. Tag revenue and lab bills to the dentist's cost centre, allocate salary cost to it with a re-tag or allocation journal, and run the P&L for it.
