In short

Keep your POS at the till, bring its daily totals into the books, pay your kitchen and floor staff on time, and see which branch actually makes money. Aqid ERP is built for ZATCA Phase 2 e-invoicing, prepares the VAT return from the books and runs payroll with GOSI and a WPS file in the Mudad layout. The Growth plan fits, at SAR 111 a month, with a 60-day free trial. Not built yet: There is no built-in point of sale and no barcode scanner support; keep Foodics or your current POS for the till.

How it runs

Your POS stays

Aqid ERP has no point of sale. Foodics or your current POS keeps taking orders and printing receipts. Bring the day's POS totals in as a sales entry. A direct Foodics connection is built but not yet proven on live accounts.

Each branch is a cost centre

Tag sales, supplier bills and rent to a branch or a cloud kitchen, and allocate payroll cost to it. The profit and loss runs per tag, so a quiet branch cannot hide behind a busy one.

Ingredients at weighted average cost

Record coffee, dairy, meat and packaging as stock items across several stores. Each purchase updates the average cost, and a month-end count shows what you really used.

Payroll the way Saudi rules expect

Run monthly payroll in SAR with GOSI contributions, a Mudad salary file for WPS and end-of-service accruals. Iqama and health certificate expiry dates raise an alert before they lapse.

A month at a café (example)

  1. Say you run a café with two branches. At month end you enter the Olaya branch's POS totals as a sales entry: SAR 80,000 in net sales, SAR 12,000 VAT (15%), SAR 92,000 gross, and SAR 1,840 in card and delivery-app fees. Sales and fees are both tagged to Olaya.
  2. You buy 60 kg of coffee beans at SAR 100 a kg: a SAR 6,000 bill plus SAR 900 VAT. You already had 40 kg at SAR 90. The store now holds 100 kg at a weighted average of SAR 96 a kg. A dairy bill comes in at SAR 6,000 plus SAR 900 VAT, and commercial rent at SAR 20,000 plus SAR 3,000 VAT.
  3. Payroll for nine staff comes to SAR 36,000. GOSI contributions post to the ledger, the WPS salary file is produced in the Mudad layout for you to upload, and end-of-service is accrued for the month.
  4. For this branch the VAT works out as SAR 12,000 output tax less SAR 4,800 input tax (900 + 900 + 3,000), so SAR 7,200 is due. The return is prepared from the same books.
  5. You count what is left in the stores. Aqid ERP adjusts stock to the count at average cost, and the branch P&L shows sales, ingredient cost, rent, fees and wages side by side.

The parts you will use

Settlement import

Import Stripe, Amazon, noon, Salla and Zid settlement files, matched line by line. POS totals come in as a sales entry, so the bank deposit can be reconciled with what the POS reported.

Inventory

Stock items for ingredients and packaging, several stores or kitchens, transfers between them, weighted average cost and stock counts typed or pasted from a sheet.

Purchasing

Purchase orders to suppliers become bills. Set an approval limit so large orders wait for a second approver. Staff can submit expense claims for small market purchases.

Payroll

Monthly payroll, GOSI, Mudad WPS file, end-of-service accruals, bilingual payslips and document expiry alerts for every employee.

Sales invoices for catering

Issue tax invoices to companies for catering and events, send them by email or WhatsApp, and add a payment link once you connect a payment provider.

Reports per branch

Profit and loss per cost centre, balance sheet, cash flow, bank reconciliation and supplier ageing.

VAT and e-invoicing for restaurants and cafés

Receipts at the counter are issued by your POS. You bring the POS totals into the books in Aqid ERP so output VAT at 15% sits in the right accounts.

Invoices you issue from Aqid ERP, such as catering for a company, go through ZATCA e-invoicing Phase 2 once your device is connected: UBL 2.1 XML, a XAdES signature and a QR code. Invoices to businesses are cleared and simplified invoices to consumers are reported.

Input VAT from supplier bills and rent is collected as you post them, and the VAT return is prepared from the ledger at the end of the period.

Questions

Does Aqid ERP replace Foodics?

No. Aqid ERP has no point of sale. Foodics stays at the till, and you bring its daily totals into Aqid ERP as a sales entry for the accounting, VAT and payroll.

Is Aqid ERP ready for ZATCA e-invoicing Phase 2?

Not listed yet: Aqid ERP's listing in ZATCA's solution-provider directory is in progress. It implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. You connect your device with an OTP from the Fatoora portal.

Can I run payroll with GOSI and Mudad for my staff?

Yes, on every plan. Payroll calculates GOSI contributions, produces the Mudad WPS salary file and accrues end-of-service. Starter covers up to five employees; Growth and Premium are unlimited.

Can I see profit for each branch or cloud kitchen?

Yes. Tag sales, bills and expenses to a cost centre for each branch, allocate payroll cost to it, and run the profit and loss per cost centre.

Does stock go down every time a dish is sold?

No. Sales come in as POS totals, not per dish. You record purchases as stock, count at month end, and the count adjustment shows what you used at weighted average cost.

Can you help me move from my current system?

Yes. The Aqid ERP Care team helps migrate your data and answers questions on WhatsApp.
