In short

Invoice annual licences up front and recognise them month by month, bill support contracts automatically, and keep foreign-currency suppliers and clients in their own currency. Aqid ERP is built for ZATCA Phase 2 e-invoicing, prepares the VAT return from the books and runs payroll with GOSI and a WPS file in the Mudad layout. The Growth plan fits, at SAR 111 a month, with a 60-day free trial. Not built yet: There are no timesheets or hourly billing, so time-and-materials work is invoiced from your own records.

How it runs

Annual contracts, monthly revenue

Invoice a 12-month licence or support contract in one go. The amount sits in deferred revenue and is recognised month by month, so your P&L shows what you earned, not what you billed.

Subscriptions bill themselves

Monthly hosting, support and licence fees run as recurring invoices. Each one is emailed as a ZATCA-compliant tax invoice, with a payment link once you connect a payment provider and an automatic email reminder if it is not paid.

Cloud and licence bills in their own currency

Enter a bill from a US or European vendor in its own currency. When you pay it, the exchange difference is posted, and open balances are revalued at month end.

Implementation projects tracked separately

Tag the invoices and subcontractor bills for each implementation to a project, and allocate the team's payroll cost to it (re-tag the payroll entry or post an allocation journal). Its P&L tells you whether the fixed fee covered the work.

A month at an IT company (example)

  1. Say a client signs a 12-month support contract worth SAR 36,000 in January. You invoice it in full: SAR 36,000 plus 15% VAT of SAR 5,400, total SAR 41,400. The SAR 36,000 goes to deferred revenue.
  2. At each month end, SAR 3,000 moves from deferred revenue into income. January shows SAR 3,000 earned and SAR 33,000 still to recognise.
  3. The same month you finish stage one of an implementation and invoice a fixed fee of SAR 50,000. VAT at 15% is SAR 7,500, total SAR 57,500, tagged to the implementation project.
  4. A European software vendor bills you EUR 4,000. At 4.10 that is SAR 16,400. By the time you pay, the rate is 4.05, so you pay SAR 16,200 and a SAR 200 exchange gain is posted.
  5. Two developers spend the month on the implementation; SAR 28,000 of their payroll is allocated to it. The project P&L shows SAR 50,000 revenue against SAR 28,000 cost so far.

The parts you will use

Deferred revenue

Prepaid licences and support contracts are recognised month by month automatically, with the unearned balance on the balance sheet.

Recurring invoices and payment links

Monthly or annual subscriptions issued on schedule, emailed automatically or shared on WhatsApp from your phone, with automatic email reminders and online payment once a payment provider is connected.

Multi-currency

Foreign-currency invoices and bills, exchange differences on payment, and month-end revaluation of open balances. Growth and Premium.

Projects and cost centres

Tag revenue, subcontractor bills and expense claims to a client implementation or product line, allocate payroll cost to it, and run a P&L for each.

Payroll

Monthly payroll in SAR with GOSI contributions, the Mudad WPS salary file, end-of-service accruals, bilingual payslips and iqama expiry alerts.

Fixed assets

Laptops, servers and network equipment held as fixed assets, with depreciation run each month in one click.

VAT and e-invoicing for IT companies

Aqid ERP issues tax invoices under ZATCA e-invoicing Phase 2: UBL 2.1 XML, XAdES signature and QR code, with B2B invoices cleared and simplified invoices reported. Once your device is connected, each invoice is cleared or reported to ZATCA as it is issued.

When you bill an annual contract up front, VAT at 15% is usually charged on the full invoice, even though the revenue is recognised monthly; agree the tax point for prepayments with your tax adviser. The VAT return is prepared from the books.

If you bill clients outside Saudi Arabia or buy services from abroad, the VAT treatment depends on the service and the client. Check it with your tax adviser and set the tax on each line accordingly.

Questions

Does it handle deferred revenue for annual licences?

Yes. Invoice the full contract and the revenue is recognised month by month from deferred revenue.

Are my invoices ZATCA Phase 2 compliant?

Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Can I bill by the hour from timesheets?

No. There are no timesheets or hourly billing yet. Bill fixed fees, milestones you invoice yourself, or recurring subscriptions.

Can I invoice in US dollars or euros?

Yes, on Growth and Premium. Foreign-currency invoices and bills are supported, and open balances are revalued at month end.

Does payroll include GOSI and the Mudad file?

Yes. Payroll calculates GOSI contributions and produces the Mudad WPS salary file, with end-of-service accruals and bilingual payslips. Starter covers up to 5 employees; Growth has no limit.

Is there an API to connect our own billing system?

Yes, the public API is available on the Growth and Premium plans.
