How it runs

Units as cost centres

Create a cost centre for each building, and one for each unit if you want that level of detail. Tag rent invoices and maintenance bills to it, allocate staff costs from the payroll entry, and the P&L shows what each one earns.

Rent that bills itself

Set up a recurring invoice per tenant: monthly, quarterly or yearly. It is issued on the day you choose and emailed automatically. Share it on WhatsApp in one tap, and add a payment link once you connect a payment provider.

Rent paid in advance

When you invoice a year up front, the invoice sits as deferred revenue and is recognised month by month, so each month's figures stay true.

Who owes what

Customer statements and ageing show which tenants are behind and by how long. Reminders go out without you chasing by phone.

A month at a property company (example)

  1. Say you own one building with 10 flats at SAR 3,000 a month and 4 shops at SAR 5,000 a month. Each flat and shop is a cost centre under the building.
  2. On the 1st, the recurring invoices go out. The flats come to SAR 30,000, with no VAT, as residential rent is usually exempt (agree this with your tax adviser). The shops come to SAR 20,000 plus SAR 3,000 VAT at 15%, so SAR 23,000.
  3. In January you invoiced one flat tenant SAR 36,000 for the whole year. Aqid ERP recognises SAR 3,000 of it each month and keeps the rest as deferred revenue.
  4. A plumber fixes a leak in shop 2 and sends a bill for SAR 1,000 plus SAR 150 VAT. You tag the bill to shop 2, so its P&L shows SAR 5,000 rent less SAR 1,000 repairs.
  5. At month end the VAT return draws SAR 3,000 output VAT from the shop invoices. Ask your tax adviser how much input VAT you can recover on costs shared between the flats and the shops.

The parts you will use

Sales and recurring invoices

Recurring rent invoices, simplified invoices for individual tenants and tax invoices for companies, credit notes for rent relief, and payment links once a payment provider is connected.

Projects and cost centres

Each building, floor or unit as a cost centre. P&L per cost centre, so you can see which property carries its costs and which does not.

Accounting

Chart of accounts, bank reconciliation, deferred revenue, and fixed assets with depreciation for buildings, lifts and fit-out you own.

Purchasing

Purchase orders and bills from maintenance and cleaning contractors, with an approval limit so large repair bills wait for a second approver.

Payroll

Monthly payroll for building staff and the office team, GOSI contributions, the Mudad WPS salary file, end-of-service accruals and iqama expiry alerts.

Multi-company

If each building sits in its own company, run them all under one login and see a consolidated report: up to 3 companies on Growth, up to 25 on Premium.

VAT and e-invoicing for real estate

Residential and commercial leases are usually treated differently for VAT: residential rent is usually exempt, and commercial rent such as shops, offices and warehouses usually carries 15%. Agree the treatment with your tax adviser, then set the VAT code on each line (standard, exempt or zero-rated are all available).

Once your device is connected with an OTP from the Fatoora portal, invoices go through ZATCA e-invoicing Phase 2: UBL 2.1 XML, XAdES signature and QR code. Tax invoices to company tenants are cleared, and simplified invoices to individuals are reported.

The VAT return is prepared from the books, so the exempt and standard-rated rent you invoiced is already in it.

Questions

Is Aqid ERP approved for ZATCA e-invoicing Phase 2?

Not yet: its listing in ZATCA's solution-provider directory is in progress. Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. You connect your device with an OTP from the Fatoora portal.

How do I handle residential and commercial rent in one building?

Residential rent is usually VAT-exempt and commercial rent usually carries 15%; agree the treatment with your tax adviser. Invoice each tenant with the right VAT code and the VAT return picks up both from the books.

Does Aqid ERP connect to Ejar or keep a unit register?

No. There is no Ejar integration, no rent contract module and no unit register. Contracts stay in Ejar; in Aqid ERP each unit is a cost centre and each tenant has a recurring invoice.

Can I see profit per building or per unit?

Yes. Tag invoices and bills to a cost centre for the building or unit, allocate payroll cost to it, and run the P&L for that cost centre.

Does it handle payroll for building staff?

Yes, on every plan: payroll in SAR, GOSI contributions, the Mudad WPS salary file, end-of-service accruals and bilingual payslips. Starter covers up to 5 employees; Growth has no limit.

What if a tenant pays a full year in advance?

If you invoice the full year up front, the invoice is held as deferred revenue and recognised month by month, so you do not book a year of rent in one month.
