How it runs

Retainers that bill themselves

A monthly retainer is a recurring invoice issued on the day you choose and emailed automatically; share it on WhatsApp from your phone in one tap, and add a payment link once you connect a payment provider. A retainer invoiced a year up front is recognised month by month as deferred revenue.

Client advances

Keep client advances in their own liability account in your chart of accounts until you bill against them. Ask your tax adviser how VAT applies to advances in your case.

Cases as projects

Tag each fee invoice, filing cost and expense claim to a case or client project. The P&L per project shows what each matter earned after costs.

Fee quotes clients accept online

Send a fee quote; the client accepts it through the customer portal without creating an account. Turn it into an invoice when the work starts.

A month at a law firm (example)

  1. Say a company client signs a one-year retainer for SAR 60,000. You issue one tax invoice for SAR 60,000 plus SAR 9,000 VAT, SAR 69,000, cleared through ZATCA. Aqid ERP recognises SAR 5,000 of revenue each month.
  2. A second client agrees a fixed fee of SAR 40,000 for a case, billed in two halves. The first invoice is SAR 20,000 plus SAR 3,000 VAT, SAR 23,000, with a payment link once a payment provider is connected.
  3. A lawyer submits an expense claim for travel to a hearing: SAR 1,000 plus SAR 150 VAT. It is tagged to the case, so the case P&L shows SAR 20,000 billed against SAR 1,000 of travel so far.
  4. For the month, output VAT on the invoices issued is SAR 12,000 and input VAT on the claim is SAR 150. The VAT return is prepared from those entries.

The parts you will use

Sales

Fee quotes, tax invoices, recurring retainer invoices, credit notes, payment links once a payment provider is connected, automatic email reminders, and statements by email or WhatsApp.

Accounting

Chart of accounts with a liability account you add for client advances, bank reconciliation, deferred revenue for retainers invoiced in advance, and approval of bills, purchase orders, claims and payments over your limit.

Expense claims

Lawyers submit claims for travel and filing costs; approved claims are tagged to the case and paid.

Payroll

Monthly payroll for lawyers and support staff, GOSI contributions, the Mudad WPS salary file, end-of-service accruals and bilingual payslips.

Roles and audit log

Partners see everything; staff see only what their role allows. Every change is in the audit log, and two-step sign-in protects client data.

VAT and e-invoicing for law firms

Legal fees usually carry VAT at the standard 15%; for clients outside Saudi Arabia, agree the treatment with your tax adviser. Fee invoices to companies are tax invoices cleared through ZATCA e-invoicing Phase 2; invoices to individuals are simplified invoices that are reported. Each carries UBL 2.1 XML, a XAdES signature and a QR code.

If you pay costs on a client's behalf, ask your tax adviser how to invoice them on to the client. The VAT return is prepared from the books.

Questions

Does Aqid ERP support ZATCA e-invoicing Phase 2?

Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Can I bill by the hour from timesheets?

No. There are no timesheets or hourly billing. Bill fixed fees, stages or monthly retainers instead.

How do I bill monthly retainers?

Set each retainer as a recurring invoice. If you invoice the client a year up front, the amount is deferred and recognised month by month.

How are client advances handled?

Keep them in their own liability account in the chart of accounts and apply them when you bill. Ask your tax adviser how VAT applies to advances.

Does it run payroll with GOSI and Mudad?

Yes, on every plan: payroll in SAR, GOSI contributions, the Mudad WPS salary file, end-of-service accruals and bilingual payslips.

Can I see profit per case or client?

Yes. Tag invoices, expenses and claims to a project for the case or client, and run its P&L.
