In short

Know what sits in each yard and showroom, put freight and customs into the cost of every import, and see which contractor owes what and for how long. Aqid ERP is built for ZATCA Phase 2 e-invoicing, prepares the VAT return from the books and runs payroll with GOSI and a WPS file in the Mudad layout. The Growth plan fits, at SAR 111 a month, with a 60-day free trial. Not built yet: There is no built-in point of sale for a busy counter, and no barcode scanner support; stock counts are typed in or pasted from a sheet.

How it runs

Stock in every yard and showroom

Each location is its own warehouse. Move stock between them with a transfer, and count each one on its own.

Landed cost on imports

Add the freight, clearing and customs bills to a shipment and they are spread over the goods. Your margin is worked out on what the tiles really cost you.

Contractor sales on account

Sell on terms with a tax invoice and a delivery note from the warehouse the goods leave. Cost of sales posts on the sale at weighted average cost.

Ageing you can act on

The ageing report shows who is past 30, 60 and 90 days. Send a statement by email or WhatsApp from the same screen, and automatic email reminders go out on overdue invoices.

A month at a building materials trader (example)

  1. Say you import 1,000 boxes of tiles for USD 10,000. At 3.75 that is SAR 37,500. The freight bill is SAR 2,500 and the customs duty is SAR 2,000. With landed cost, the boxes go into the Riyadh yard at SAR 42 each, not SAR 37.50. Import VAT paid at customs is recorded as input VAT.
  2. A contractor buys 600 boxes at SAR 70 on 30-day terms. The tax invoice is SAR 42,000 plus 15% VAT of SAR 6,300, so SAR 48,300. A delivery note goes with the truck from the Riyadh yard, and cost of sales of SAR 25,200 posts on the sale.
  3. You transfer 200 boxes to the showroom. Stock in each location updates, and the total value does not change.
  4. At month end the ageing shows this contractor at SAR 48,300 in the 0 to 30 column and an older balance of SAR 15,000 past 60 days. You share the statement on WhatsApp from your phone in one tap.
  5. The foreign-currency supplier balance is revalued at month end, and the exchange difference posts on its own line.

The parts you will use

Inventory

Several warehouses, transfers, stock counts and weighted average cost. Cost of sales posts on each sale. Growth or Premium.

Purchasing and landed cost

Purchase orders become bills. Freight and customs are spread over the goods. Orders over your limit wait for a second approver.

Sales on account

Quotes the contractor accepts online without an account, sales orders, tax invoices, delivery notes and credit notes for returns.

Receivables and ageing

Customer statements, ageing by customer, automatic email reminders, and payment links on invoices once you connect a payment provider.

Multi-currency

Supplier bills in USD, EUR or CNY, with month-end revaluation of open balances. Growth or Premium.

VAT and e-invoicing for building materials traders

Sales to contractors and the public carry VAT at 15%. Import VAT paid at customs is recorded as input VAT, and the VAT return is prepared from the books.

Invoices are ZATCA Phase 2 e-invoices: UBL 2.1 XML, XAdES signature and QR code. Tax invoices to contractors go for clearance, and simplified invoices to walk-in buyers are reported. This starts once your device is connected with an OTP from the Fatoora portal.

Questions

Can I track stock in more than one yard or showroom?

Yes, on Growth and Premium. Each location is a warehouse, with transfers between them and separate stock counts.

How does landed cost work on an import?

Add the freight, clearing and customs bills to the shipment and Aqid ERP spreads them over the goods. The stock cost, and so your margin, includes them.

Are the invoices ZATCA Phase 2 compliant?

Not listed yet. Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Can I scan barcodes or set contractor price lists?

Not yet. There is no barcode scanner support and no customer price lists. Prices are set on each quote or invoice, and counts are typed in or pasted from a sheet.

Does payroll cover my drivers and yard staff?

Yes. Monthly payroll in SAR with GOSI, the Mudad WPS file, end-of-service accruals and iqama expiry alerts. Growth and Premium have no employee limit.

Can you help me move from my current system?

Yes. We help migrate items, customers, suppliers and opening balances, and the free trial needs no card: 60 days for companies that start by 31 December 2026.
