In short

Bill retainers every month, recharge media spend to the right client, and see which account actually earns once staff and freelancers are counted. Aqid ERP is built for ZATCA Phase 2 e-invoicing, prepares the VAT return from the books and runs payroll with GOSI and a WPS file in the Mudad layout. The Growth plan fits, at SAR 111 a month, with a 60-day free trial. Not built yet: There are no timesheets or hourly billing, so staff cost reaches a project by allocating payroll cost rather than through logged hours.

How it runs

Retainers go out on their own

Set each retainer up as a recurring invoice. It is issued on the same day every month as a ZATCA-compliant tax invoice and emailed automatically. Share it on WhatsApp in one tap, and add a payment link once you connect a payment provider.

Media spend is recharged, not lost

Enter the platform or publisher bill, tag it to the client project, and put the recharge on the client's next invoice. The project shows what you paid and what you billed side by side.

Every project has its own P&L

Tag invoices, supplier bills, freelancer costs and expense claims to a client project, and allocate payroll cost to it by re-tagging the payroll entry or posting an allocation journal. Run the profit and loss for that tag and see the margin on each account.

Quotes signed off online

Send a campaign quote by email or WhatsApp. The client opens it in the customer portal and accepts it without creating an account, then you turn it into an invoice.

A month at a marketing agency (example)

  1. Say you run a retainer of SAR 20,000 a month for a retail client. On the 1st, the recurring invoice goes out: SAR 20,000 plus 15% VAT of SAR 3,000, total SAR 23,000.
  2. During the month you buy SAR 30,000 of ad space for the same client. The supplier bill carries SAR 4,500 VAT, which goes to input VAT in the books. You tag the SAR 30,000 cost to the client project.
  3. You recharge the media with a 10% handling fee, so SAR 33,000 goes on a second invoice. VAT at 15% is SAR 4,950, total SAR 37,950.
  4. Staff time on the account comes to SAR 12,000 of payroll, allocated to the project after you run payroll, and a freelance designer bills SAR 2,000.
  5. The project P&L shows SAR 53,000 of revenue against SAR 44,000 of cost: SAR 9,000 profit. Most of the revenue was media, and the retainer is what carried the margin.

The parts you will use

Sales and recurring invoices

Quotes, tax invoices, credit notes and recurring retainer invoices, emailed or shared on WhatsApp, with automatic email reminders and a payment link once a payment provider is connected.

Projects and cost centres

One tag per client or campaign. Revenue, media bills and freelancer bills land on it, and payroll cost is allocated to it, so profit per account is a report, not a spreadsheet.

Purchasing and approvals

Purchase orders for media bookings and production. Orders or bills over your limit wait for a second approver before they go through.

Payroll

Monthly payroll in SAR with GOSI contributions, the Mudad WPS salary file, end-of-service accruals and bilingual payslips.

Deferred revenue

When you invoice a campaign fee up front, recognise it month by month over the campaign instead of all at once.

Expense claims

Staff submit claims for shoots, travel and event costs, tagged to the client project so they count against the right account.

VAT and e-invoicing for marketing agencies

Aqid ERP implements ZATCA e-invoicing Phase 2: UBL 2.1 XML, XAdES signature and QR code. Once your device is connected with an OTP from the Fatoora portal, invoices to businesses are cleared with ZATCA before they reach the client and simplified invoices are reported. Its listing in ZATCA's solution-provider directory is in progress.

VAT at 15% is calculated on each invoice line, and input VAT on media, production and freelancer bills is tracked as you enter them. The VAT return is prepared from the books, so retainers, recharges and supplier bills all feed into it.

How you treat a recharged media cost for VAT depends on whether you buy it as principal or as the client's agent. Agree the treatment with your tax adviser; Aqid ERP records it either way.

Questions

Can I issue ZATCA Phase 2 invoices to my agency clients?

Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Can I see profit per client?

Yes. Tag invoices, supplier bills and expense claims to a client project, allocate payroll cost to it, and run the P&L for that tag.

Does it track hours for each client?

No. There are no timesheets or hourly billing yet. Staff cost reaches a client by allocating payroll cost to its project, and you bill on retainers or fixed fees.

Does payroll handle GOSI and Mudad?

Yes. Payroll calculates GOSI contributions, produces the Mudad WPS salary file, accrues end-of-service and prints bilingual payslips. It is on every plan; Starter covers up to 5 employees.

Can I bill a retainer automatically every month?

Yes. Set it up as a recurring invoice. It is issued on the same date each month and emailed automatically, with a payment link once you connect a payment provider.

Can I pay overseas platforms in US dollars?

On Growth and Premium you can enter foreign-currency bills, and balances are revalued at month end.
