The standard tax invoice a VAT-registered business issues to another: every field ZATCA requires, VAT per line at 15 percent, and the totals, with sample figures you replace.
The invoice for a sale to a consumer, or any supply under SAR 1,000: no buyer details, VAT shown, a QR code, and reported to ZATCA within 24 hours in Phase 2.
For a business below the VAT registration threshold, a freelancer, or an exempt supply: what was sold, to whom, for how much, and when it is due. No VAT line, no QR code.
An offer in writing: the items, the prices with VAT, and the date it stays valid to. Not a tax invoice; the invoice follows acceptance.
The paper that reduces a tax invoice: returned goods, a price cut, a cancelled line. It names the invoice and the reason, and its VAT reduces the period's output tax.
Everything on one customer's account for a period, and the balance after each line. The closing balance is what is owed. Sent monthly or when chasing.
The year-end letter that asks a customer to confirm what they owe: the balance in your books on a date, the open invoices that make it up, and a reply to sign and stamp.
What you are buying, at what price, delivered where and when: the first paper of the three-way match with the delivery note and the supplier's invoice.
Travels with the goods and comes back signed: what was sent, what was received, what is still to follow. No prices; the invoice has those.
Count what is on the shelf against what the system says, line by line; the sheet computes the variance and values it at cost for the adjustment.
Proof that money came in: from whom, how much, how, and against which invoice. It debits the bank or cash and credits the customer.
The approval to pay and the record that it was paid: to whom, how much, by what means, against which bill, signed by whoever authorised it.
Equal debits and credits across accounts, with a date, a reference and a narration: the entry for what has no document of its own, such as depreciation or an accrual.
What an employee paid from their own pocket on the company's business, line by line with receipts, for approval and reimbursement.
One sheet per account: every posting in date order and the balance after each. The closing balance agrees to the bank statement and the trial balance.
Every ledger account's closing balance on one page, debits in one column and credits in the other, totals equal. The bridge from the ledger to the statements.
Revenue, the costs set against it and the profit, in the order the IFRS for SMEs presents them, down to zakat and the net profit for the year.
What the business owns, what it owes and what is left to its owners on one day. Assets equal liabilities plus equity, by construction.
One employee's month: earnings on one side, GOSI and other deductions on the other, and the net that must equal the Wage Protection System file.
The letter on company letterhead that a bank, a landlord or an embassy asks for: who is employed, since when, in what role, and at what salary.
Hours in, hours out, overtime and absence per employee and day, signed. The monthly totals feed the pay run at the Labour Law's overtime rate.
A pay band for every grade: minimum and maximum basic, housing as a percentage, transport, and the total each end of the band adds up to. The company's own policy, dated and signed.
The month's pay run on one sheet: each employee's earnings, deductions and net, totalled. The net column is what the Wage Protection System file carries to Mudad.
