How it runs

Monthly fees that bill themselves

Each bookkeeping or payroll client gets a recurring invoice. It is issued on the same day each month and emailed automatically. Share it on WhatsApp from your phone in one tap, and add a payment link once you connect a payment provider.

Audit fees in stages

Send the engagement fee as a quote the client accepts through the customer portal, then invoice it in stages as the work moves. Tag each invoice to the engagement.

Service lines as cost centres

Make audit, bookkeeping, tax and advisory cost centres. Tag fees to them, allocate staff salary cost to them (re-tag the payroll entry or post an allocation journal), and the P&L shows which line carries the firm.

Your own group of companies

If your firm runs as more than one company, keep them under one login with consolidated statements and intercompany reports on Growth or Premium.

A month at an accounting firm (example)

  1. Say you have 40 bookkeeping clients on SAR 1,500 a month. The recurring invoices total SAR 60,000 plus SAR 9,000 VAT, SAR 69,000, and go out on the 1st.
  2. You sign an audit engagement for SAR 30,000 and bill half at the start: SAR 15,000 plus SAR 2,250 VAT, SAR 17,250, tagged to the audit cost centre.
  3. Payroll for 8 staff runs with GOSI and the Mudad file. Salary cost is then allocated to the service lines with a re-tag or an allocation journal.
  4. Output VAT for the month is SAR 9,000 + SAR 2,250 = SAR 11,250. The VAT return is prepared from the books, less input VAT on your office bills.
  5. Ageing shows which bookkeeping clients are more than 30 days late, and automatic email reminders go out without a phone call.

The parts you will use

Sales and recurring invoices

Recurring fee invoices, quotes clients accept online, credit notes, payment links (once a payment provider is connected), statements, ageing and email reminders.

Accounting

Chart of accounts, bank reconciliation, deferred revenue for fees invoiced in advance, approval of bills, purchase orders, claims and payments over your limit, audit log and roles.

Payroll

Monthly payroll in SAR, GOSI contributions, the Mudad WPS salary file, end-of-service accruals, bilingual payslips and iqama expiry alerts.

Multi-company

Several companies of your own group under one login, consolidated statements and intercompany reports (Growth or Premium).

VAT and e-invoicing for accounting firms

Your fee invoices usually carry VAT at 15% (agree the treatment for clients outside Saudi Arabia with your tax adviser) and, once your device is connected, go through ZATCA e-invoicing Phase 2: UBL 2.1 XML, XAdES signature and QR code. Tax invoices to business clients are cleared; simplified invoices to individuals are reported.

The VAT return is prepared from your own books, so it ties back to the invoices and bills you posted.

Questions

Is Aqid ERP live for ZATCA e-invoicing Phase 2?

Not listed yet. Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Can I manage my clients' books from one dashboard?

No. Aqid ERP is for your own firm's accounting. Multi-company covers companies in your own group, not a practice portal across clients.

Can I bill hours from timesheets?

No. There are no timesheets or hourly billing. Bill fixed monthly fees, staged audit fees or one-off invoices.

How do recurring bookkeeping fees work?

Each client has a recurring invoice that is emailed on schedule, with a payment link once a payment provider is connected. Statements and automatic email reminders follow up late payers.

Does it run payroll with GOSI and Mudad?

Yes, on every plan: payroll in SAR, GOSI contributions, the Mudad WPS salary file, end-of-service accruals and bilingual payslips.

Can I see profit per service line or partner?

Yes. Tag fees to a cost centre for each service line or partner, allocate salary cost to it with a re-tag or allocation journal, and run its P&L.
