How it runs

Sales to shops on account

Sales order, delivery note, tax invoice. Each shop gets a statement and an ageing line, and automatic email reminders go out on overdue invoices.

Stock across warehouses

Main store, cold room and branch depot as separate warehouses, with transfers and counts. Cost of sales posts on every sale at weighted average cost.

Big bills wait for approval

Set a limit, and purchase orders or bills above it wait for a second approver before they post. Freight and customs on imported lines are spread over the goods.

Online channel settlements

If you also sell on Amazon or noon, import the settlement file. Each line is matched to a sale, a fee or a refund.

A month at a food distributor (example)

  1. Say you supply 40 grocery shops and all lines carry 15% VAT. This month's invoices total SAR 300,000 plus SAR 45,000 VAT, so SAR 345,000. Each one leaves with a delivery note from the warehouse that shipped it.
  2. Your main brand supplier bills SAR 200,000 plus SAR 30,000 VAT. Your approval limit is SAR 50,000, so the bill waits for the finance manager before it posts.
  3. You send each shop its statement on WhatsApp. The ageing shows SAR 60,000 past 60 days across six shops, so you know who your reps should visit first.
  4. Payroll for 15 staff, including drivers and warehouse hands, runs with GOSI posted and a WPS salary file in the Mudad layout for you to upload.
  5. VAT for the month: SAR 45,000 output less SAR 30,000 input leaves SAR 15,000, and the return is prepared from the books.

VAT and e-invoicing for distributors

Invoices to shops are tax invoices and go to ZATCA for clearance as Phase 2 e-invoices: UBL 2.1 XML, XAdES signature and QR code. Simplified invoices to individuals are reported. Once your device is connected, each invoice is cleared or reported to ZATCA as it is issued.

The VAT return is prepared from the posted invoices and bills, so output and input VAT match your ledger. If you are unsure how a product line is treated for VAT, check with your adviser.

Questions

Does Aqid ERP track batches or expiry dates?

No. There is no batch, lot or expiry tracking, and costing is weighted average only. It suits distributors who do not need to trace batches. If you do, keep that in a warehouse system and use Aqid ERP for accounting, VAT and payroll.

Are my invoices to shops ZATCA Phase 2 compliant?

Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Can I run payroll for drivers and reps with GOSI and Mudad?

Yes, on every plan. Payroll posts GOSI, produces the Mudad WPS file and accrues end-of-service. Starter covers up to 5 employees; Growth and Premium have no limit.

Can I set different prices for different shops?

There are no customer price lists yet. You set the price on each sales order or invoice.

Can I stop big purchase bills posting without approval?

Yes. Set an approval limit, and orders or bills above it wait for a second approver.

Can I try it with my own data?

Yes. There is a free trial with no card: 60 days for companies that start by 31 December 2026, and we help migrate items, customers and opening balances.
