How it runs

Daily takings into the books

Your booking or POS app closes the day. You record the day's services, product sales and VAT in Aqid ERP, and the money lands in the right bank or cash account.

Company and event invoices

Bridal parties, corporate wellness days and hotel contracts get a proper tax invoice from Aqid ERP, with a customer statement, and a payment link once you connect a payment provider.

Products on the shelf

Retail products and back-bar supplies are stock items at weighted average cost. Count the shelves at month end and the difference goes to cost.

Stylists and therapists on payroll

Monthly payroll with GOSI, the Mudad WPS file and end-of-service accruals. Iqama and health certificate expiry dates sit on the employee record with alerts.

A month at a salon (example)

  1. Say your booking app records SAR 70,000 of services and SAR 10,000 of retail products in a month, plus 15% VAT of SAR 12,000, so SAR 92,000 taken in card and cash. You post each day's totals in Aqid ERP against the card clearing and cash accounts.
  2. An events company books a bridal package for SAR 8,000. You issue a tax invoice from Aqid ERP: SAR 8,000 plus SAR 1,200 VAT, SAR 9,200 in total. It is cleared with ZATCA and the customer pays through the link.
  3. Your product supplier's bill is SAR 6,000 plus SAR 900 VAT. The stock goes on the shelf at cost. At month end you count the shelf, and what was sold or used comes off at weighted average cost.
  4. The commercial rent bill is SAR 15,000 plus SAR 2,250 VAT. Payroll for 12 staff runs with GOSI posted and a WPS salary file in the Mudad layout for you to upload.
  5. VAT for the month: output VAT of SAR 13,200, less input VAT of SAR 3,150, leaves SAR 10,050 to pay, and the return is prepared from the books.

The parts you will use

Sales and invoices

Tax invoices for company and event clients, quotes they can accept online without an account, credit notes for cancelled packages, and automatic email reminders for unpaid ones.

Inventory

Retail products and salon supplies across one or more stores, with stock counts and weighted average cost. Growth or Premium.

Purchasing

Purchase orders to your distributors turn into bills. Staff can submit expense claims for small buys.

Payroll

GOSI, Mudad WPS, end-of-service accruals and bilingual payslips, with document expiry alerts for every team member.

Branches and cost centres

Tag takings and bills to each branch, or to the nails, hair and spa sections, allocate payroll cost to them with a re-tag or allocation journal, and see a P&L for each.

VAT and e-invoicing for salons

Salon services and product sales carry VAT at 15%. Input VAT on products, rent and equipment comes off what you owe, and the VAT return is prepared from the posted entries.

Invoices issued from Aqid ERP are ZATCA Phase 2 e-invoices: UBL 2.1 XML, XAdES signature and QR code, with clearance for business customers and reporting for simplified invoices. This starts once your device is connected with an OTP from the Fatoora portal.

If your booking or POS app prints receipts for walk-in clients, that app issues those receipts, so make sure it meets Phase 2 for the receipts it produces. Aqid ERP then holds the totals and does the return.

Questions

Do I have to replace my booking app?

No. Aqid ERP has no appointment calendar or point of sale. Keep your booking app at the desk and use Aqid ERP for the books, VAT, payroll and product stock.

Are Aqid ERP invoices ZATCA Phase 2 compliant?

Not listed yet. Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal. Receipts your booking app prints are issued by that app, so check it meets Phase 2 too.

Can I run payroll with GOSI and Mudad?

Yes, on every plan. Payroll posts GOSI, produces the Mudad WPS file, accrues end-of-service and alerts you before iqamas or other documents expire. Starter covers up to 5 employees.

Does it calculate stylist commission?

Not from bookings. Payroll can pay commission as a % of sales by salesperson or cost centre, but it does not read bookings, so work out service commission in your booking app, where the service history lives.

Can I track the products I sell and use?

Yes, on Growth or Premium. Products are stock items at weighted average cost, across more than one store if you need. There is no barcode scanning or expiry tracking.

How long is the free trial?

A free trial with no card: 60 days for companies that start by 31 December 2026. We can help move your opening balances and product list across.
