In short

Run payroll for every worker with GOSI and the Mudad file, invoice each client for the staff placed with them every month, and see the margin per client. Aqid ERP is built for ZATCA Phase 2 e-invoicing, prepares the VAT return from the books and runs payroll with GOSI and a WPS file in the Mudad layout. The Growth plan fits, at SAR 111 a month, with a 60-day free trial. Not built yet: Aqid ERP does not connect to Qiwa, Muqeem or Musaned; visas, transfers and contract authentication stay in those portals, and the Mudad file is downloaded and uploaded by you.

How it runs

One client, one cost centre

Set up each client as a project or cost centre. Tag the workers' housing, transport and other costs to it, and allocate their payroll cost: payroll posts one entry, which you re-tag to the client or spread across clients with an allocation journal. The client's P&L then shows the margin on the people you supply.

Payroll built for a large workforce

Monthly payroll in SAR with GOSI contributions, end-of-service accruals and the Mudad WPS salary file from the same run. Payslips are bilingual.

Clients invoiced every month

Fixed monthly supply fees run as recurring invoices. Where headcount changes, edit the invoice before it goes out; it is still issued as a ZATCA-compliant tax invoice.

Iqama and passport expiry alerts

Every worker's iqama, passport and other documents are on their employee record. Aqid ERP alerts you before they expire, so renewals do not slip.

A month at a manpower supply company (example)

  1. Say you supply 40 workers to a logistics client at SAR 3,500 per worker per month. The invoice is SAR 140,000 plus 15% VAT of SAR 21,000, total SAR 161,000.
  2. Payroll for those 40 workers is SAR 92,000, allocated to the client cost centre with an allocation journal. For the example, take the employer GOSI share on them as SAR 8,000; payroll calculates the real figure.
  3. Housing and transport bills for the same workers come to SAR 18,000 before VAT, also tagged to the client. Input VAT on those bills goes to the VAT account.
  4. The client P&L shows SAR 140,000 revenue against SAR 118,000 cost: SAR 22,000 margin, or about 16%.
  5. The Mudad WPS file for the whole workforce comes out of the same payroll run, and end-of-service is accrued for every worker so the liability is in the books before anyone leaves.

Unlimited employees on Growth and Premium, GOSI contributions, Mudad WPS salary file, end-of-service accruals and bilingual payslips.

Employee records and expiry alerts

Iqama, passport and other document dates per worker, with alerts before expiry.

Projects and cost centres

Questions

Does payroll calculate GOSI and produce the Mudad WPS file?

Yes. Every payroll run calculates GOSI contributions and produces the Mudad WPS salary file, with end-of-service accruals and bilingual payslips.

Is there a limit on the number of workers?

Starter covers payroll for up to 5 employees. Growth and Premium have no limit.

Will I be alerted before iqamas expire?

Yes. Iqama, passport and other document dates on each employee record trigger alerts before expiry.

Does it connect to Qiwa or Musaned?

No. Government portals stay where they are. Aqid ERP handles the accounting, VAT, payroll and the Mudad salary file.

Are client invoices ZATCA Phase 2 compliant?

Aqid ERP implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. Its listing in ZATCA's solution-provider directory is in progress. You connect your device with an OTP from the Fatoora portal.

Can I see the margin on each client?

Yes. Allocate the workers' payroll to the client's cost centre (re-tag the payroll entry or post an allocation journal), tag the related costs to it, and run its P&L.
