Business in Makkah, and the part Aqid ERP plays

Makkah's economy is the pilgrimage. Umrah brings guests all year and Hajj brings the year's peak in a few weeks, so the city's businesses are hotels and furnished apartments, temporary accommodation licensed for the season, restaurants and caterers, transport, and the shops around the Grand Mosque. Hospitality facilities are licensed by the Ministry of Tourism, which met the city's operators and investors before the last Hajj.

For an operator the year turns on that peak: rooms sold to agencies and groups on account and to walk-in guests at the desk, stores bought ahead of the season, and staff added for it and released after. Aqid ERP keeps each building as a branch with its own profit and loss, so a building taken for the season shows whether the season paid for it.

How a business in Makkah runs on Aqid ERP

Groups on account, guests at the desk

Rooms sold to agencies and group organisers go out as tax invoices cleared through ZATCA, each with a statement and an ageing; walk-in guests get simplified invoices, reported. Both sit in the same VAT return.

Each building as a branch

Tag revenue, rent, staff and stores to the building, and read a profit and loss for each, including the one leased only for the season.

Buying ahead of the season

Linen, food stores and maintenance ordered on purchase orders, with large orders waiting for a second approver; a cash forecast shows the buying before the season against the selling in it.

Staff for the peak

Workers added for Hajj go through the same payroll with GOSI, the Mudad WPS file and payslips in Arabic and English, with iqama expiry alerts; end of service accrues from day one.

A month at a hotel operator in Makkah (example)

  1. Say a hotel operator in Makkah invoices SAR 1,450,000.00 of room nights for Umrah groups and walk-in guests in October, all at the standard rate. That is SAR 217,500.00 VAT, SAR 1,667,500.00 in total, on tax invoices cleared through ZATCA or simplified invoices reported to it.
  2. A supplier bills SAR 260,000.00 plus SAR 39,000.00 VAT for linen, food stores and maintenance, posted against a purchase order and tagged to the hotel.
  3. Payroll for 58 staff runs with GOSI contributions and a WPS salary file in the Mudad layout, and its cost is posted to the books from the same run.
  4. The VAT return shows SAR 217,500.00 output VAT and SAR 39,000.00 input VAT, so SAR 178,500.00 to pay before any other purchases. Each box opens to the invoices and bills behind it.
  5. These figures only show the arithmetic. How VAT applies to your supplies is for your tax adviser, set up before you start invoicing.

The rules in Saudi Arabia, and what Aqid ERP does with them

E-invoicing: ZATCA's Phase 2 reaches VAT-registered businesses in waves. Aqid ERP produces the UBL 2.1 XML, the XAdES signature and the QR code, clears tax invoices and reports simplified ones once your device is connected with an OTP from the Fatoora portal. It implements Phase 2 end to end and is tested against ZATCA's published rules; its listing in ZATCA's solution-provider directory is in progress.

VAT: the standard rate is 15%. The return is prepared from the books in ZATCA's layout, and every box opens to the invoices and bills behind it. Filing on the ZATCA portal stays with you or your adviser.

Payroll: GOSI contributions by nationality, a WPS salary file in the Mudad layout, end-of-service accruals and payslips in Arabic and English, posted to the books from the same run. Employee records carry document expiry alerts for iqamas and passports.

Zakat and income tax are not computed; the year-end statements they start from are kept as you work, for you or your adviser.

Questions

Can a Makkah hotel operator see whether a building leased for Hajj made money?

Yes. Make the building a branch and tag its rent, staff, stores and every room invoice to it; its profit and loss shows the season on its own. Bookings themselves stay in your hotel system, since Aqid ERP has no booking engine.

Is Aqid ERP live for ZATCA e-invoicing Phase 2?

Not listed yet: Aqid ERP's listing in ZATCA's solution-provider directory is in progress. It implements Phase 2 end to end (UBL 2.1 XML, XAdES signature, QR code, clearance for tax invoices and reporting for simplified ones) and is tested against ZATCA's published rules. You connect your device with an OTP from the Fatoora portal.

Does it run Saudi payroll?

Yes: monthly payroll in SAR, GOSI contributions by nationality, a WPS salary file in the Mudad layout, end-of-service accruals and bilingual payslips. Starter covers up to 5 employees; Growth has no limit.
