In short

Aqid ERP is cloud accounting for landlords and property managers in the UAE. It invoices rent on a schedule, keeps exempt residential rent apart from commercial rent at 5% VAT, shows the profit of each building and unit, tracks who is behind, and lays out the VAT 201 from the ledger. Aqid ERP lays out the FTA's VAT 201 from the books, generates every invoice as signed PINT AE XML for the 2027 e-invoicing mandate and runs payroll in dirhams with a WPS salary file and end-of-service gratuity. The Growth plan fits, at AED 109 a month, with a 60-day free trial. Not built yet: Aqid ERP keeps the books, VAT and payroll for your properties, but it has no unit register or tenancy contract module.

How it runs

Buildings and units as cost centres

Make a cost centre for each building, and for each unit if you want that detail. Rent invoices and maintenance bills are tagged to it, staff cost is moved onto it from the payroll entry, and the P&L shows what each one earns.

Rent invoiced on schedule

Each tenancy is a recurring invoice, monthly, quarterly or yearly, issued on the day you choose and emailed. Send the link on WhatsApp from your phone, and add a payment link once a payment provider is connected.

Cheques until they clear

When a tenant pays by cheque, record the receipt with the cheque number and date. It waits in undeposited funds until you bank it, and several cheques banked on one slip go in as one deposit, so the bank statement matches.

Rent paid for the year

When you invoice a full year up front, the line is held in deferred revenue and recognised month by month, so each month carries its own rent.

A month at a property company in Ajman (example)

  1. Say you own a building in Ajman with 12 flats at AED 3,500.00 a month and 3 ground-floor shops at AED 6,000.00 a month. Each flat and shop is a cost centre under the building.
  2. On the 1st, eleven flats are invoiced: AED 38,500.00 with no VAT, since residential rent is exempt under Article 46 of the VAT law (confirm each tenancy with your adviser). The twelfth tenant was invoiced AED 42,000.00 for the year in January, and AED 3,500.00 of it is recognised this month.
  3. The shops are invoiced AED 18,000.00 plus 5% VAT of AED 900.00, a total of AED 18,900.00. One shop tenant pays by cheque, which sits in undeposited funds until you bank it.
  4. An air-conditioning contractor services shop 1 and bills AED 1,200.00 plus AED 60.00 VAT. Tagged to shop 1, its P&L shows AED 6,000.00 of rent less AED 1,200.00 of maintenance.
  5. The building earns AED 60,000.00 of rent this month. In the VAT 201, AED 18,000.00 of standard-rated rent and AED 900.00 of VAT sit against Ajman in box 1d, and the flat rent is in the exempt box. How much input VAT you can recover on costs shared between flats and shops is a question for your adviser.

The parts you will use

Sales and recurring invoices

Recurring rent invoices, simplified tax invoices for individual tenants and full ones for companies, credit notes for rent relief, and payment links once a payment provider is connected.

Projects and cost centres

Each building, floor or unit as a cost centre with its own P&L, so you see which property carries its costs.

Accounting

A UAE chart of accounts in Arabic and English, bank reconciliation, undeposited funds for cheques, deferred revenue, and fixed assets for buildings, lifts and fit-out you own.

Purchasing

Purchase orders and bills from maintenance, cleaning and security contractors, with an approval limit so a large repair waits for a second person.

Payroll

Watchmen, cleaners and the office team in AED, with a WPS SIF salary file, end-of-service gratuity accrued monthly and payslips in both languages.

Multi-company

When each building sits in its own company, run them under one login with consolidated statements: up to 3 companies on Growth and 25 on Premium.

VAT and e-invoicing for real estate

Under the VAT law, residential property is exempt apart from its first supply within three years of completion, which is zero-rated, and bare land is exempt. Shops, offices and warehouses are normally standard-rated at 5%. Agree the treatment of each lease with your adviser, set the tax code on each invoice line, and Aqid ERP keeps exempt, zero-rated and standard-rated rent in their own VAT 201 boxes.

UAE e-invoicing covers invoices to businesses and government; sales to individuals are outside the phases announced so far. So rent invoices to company tenants will travel through an accredited service provider, from 1 July 2027 for a landlord under AED 50 million of revenue, while those to families do not. Aqid ERP keeps signed PINT AE XML with every invoice, but it is not a provider and its connection to one is not yet live.

A landlord who bills only individuals still needs a provider to receive suppliers' e-invoices once they start.

Questions

How do I invoice residential and commercial units in one building?

Residential rent is exempt under Article 46 of the VAT law, apart from the first supply of a new building, and commercial units are normally standard-rated at 5%. Agree each lease with your adviser, use the right tax code on each tenant's invoice, and the VAT 201 picks up both from the books.

Does Aqid ERP connect to Ejari?

No. There is no Ejari or other tenancy-registration integration, no rent contract module and no unit register. Each unit is a cost centre and each tenancy a recurring invoice.

My tenants pay with a set of cheques. How are they recorded?

Each cheque is recorded as a receipt with its number and date, held in undeposited funds until you bank it. There is no register that tracks post-dated cheques before they are due, so keep that schedule outside Aqid ERP for now.

Do rent invoices have to be e-invoices from 2027?

Invoices to company tenants do, once your phase starts: 1 July 2027 below AED 50 million of revenue, after appointing an accredited service provider by 31 March 2027. Rent billed to individuals is outside the phases announced so far. Aqid ERP keeps signed PINT AE XML with each invoice; its provider connection is not yet live.

Can I see profit per building or per unit?

Yes. Tag invoices and bills to the building's or unit's cost centre, move staff cost onto it, and run its P&L.

What if a tenant pays the whole year at once?

Invoice the year and the line is held in deferred revenue, recognised a month at a time, so a single month does not show a year's rent.
