In short

For training institutes and course providers in the UAE, Aqid ERP invoices course fees up front with 5% VAT, recognises the revenue month by month as the course is delivered, bills corporate clients with proper tax invoices, and shows which course or branch pays for itself. Aqid ERP lays out the FTA's VAT 201 from the books, generates every invoice as signed PINT AE XML for the 2027 e-invoicing mandate and runs payroll in dirhams with a WPS salary file and end-of-service gratuity. The Growth plan fits, at AED 109 a month, with a 60-day free trial. Not built yet: Aqid ERP holds no trainee records, attendance, timetables or class scheduling, and has no booking calendar.

How it runs

Fees paid up front, earned as you teach

When you invoice a three-month course in advance, the fee goes to deferred revenue and is recognised month by month. The profit and loss shows what you have delivered, not what you have collected.

Each course or programme is a tag

Tag course invoices, trainer fees, venue hire and materials to the course or programme. The profit and loss for each tag shows which courses are worth running again, and which branch carries the others.

Corporate clients get proper invoices

Quote a company for an in-house programme, let it accept the quote by link, and issue a tax invoice with signed PINT AE XML kept beside it. Statements and automatic email reminders follow up on payment.

Instalments as recurring invoices

Where trainees pay monthly, set up a recurring invoice issued on the same day each month and emailed automatically. Share it on WhatsApp in one tap, and add a payment link once you connect a payment provider.

A month at a training centre in Ras Al Khaimah (example)

  1. Say a trainee at your centre in Ras Al Khaimah enrols in a three-month bookkeeping course for AED 4,800 plus AED 240 VAT (5%), AED 5,040 in total, and pays through the payment link on the invoice. The AED 4,800 goes to deferred revenue and the AED 240 to output VAT.
  2. At the end of each month AED 1,600 is recognised as revenue. After the first month, AED 3,200 is still in deferred revenue on the balance sheet.
  3. A manufacturer in the emirate books a two-day health and safety course for its supervisors. You invoice AED 18,000 plus AED 900 VAT, AED 18,900 in total, tagged to the HSE course. A freelance trainer bills AED 6,500 plus AED 325 VAT against the same tag.
  4. Payroll for nine staff comes to AED 41,000, gratuity accrual included, with the WPS salary file produced for your bank and the payday set no later than the 1st.
  5. The HSE course's P&L shows AED 18,000 of revenue against AED 6,500 of trainer cost, before rent and staff. The bookkeeping course shows AED 1,600 earned this month, not the AED 4,800 invoiced.

VAT and e-invoicing for training centres in the UAE

The course fees in the example carry VAT at 5%. UAE VAT law zero-rates qualifying education; whether any of your courses fall under it is for your tax adviser to decide, so agree it before you set up your course items. Input VAT on trainer, venue and supplier bills is collected as you post them, and the VAT 201 is laid out from the ledger for you to enter on EmaraTax.

Invoices to individual trainees are sales to consumers, outside the e-invoicing phases announced so far. Invoices to companies that send their staff are not: under AED 50M of revenue, you appoint an accredited service provider by 31 March 2027 and transmit from 1 July 2027. Aqid ERP generates each invoice as signed PINT AE XML today; its connection to a provider is in progress and not yet live.

Questions

How are course fees paid in advance recorded?

When you invoice the course up front, the fee goes to deferred revenue and is recognised month by month over the course, so revenue follows delivery.

Does Aqid ERP keep trainee records or attendance?

No. There are no trainee records, attendance or timetables. Keep your registration system for that; Aqid ERP holds the customer, the invoices and the accounting.

Are training courses charged 5% VAT?

The courses in the example are invoiced at 5%. UAE VAT law zero-rates qualifying education, so if you think a course may qualify, confirm it with your tax adviser and set up that course item with the agreed rate.

Do invoices to companies have to go through e-invoicing?

Yes, once your date arrives: from 1 July 2027 for businesses under AED 50M of revenue, with an accredited service provider appointed by 31 March 2027. Aqid ERP already keeps signed PINT AE XML with each invoice; its provider connection is not yet live, and it is not itself a provider.

Can trainees pay in monthly instalments?

Yes. Set up a recurring invoice; it is emailed automatically each month, with a payment link once you connect a payment provider, and automatic email reminders follow if it is late.

Can I see which course makes money?

Yes. Tag invoices, trainer bills and expenses to a project for each course and run the profit and loss per project.
