In short

Aqid ERP is cloud accounting for UAE joinery workshops, furniture makers and fit-out firms. It builds from bills of materials, costs production at weighted average, gives each fit-out job its own P&L, holds retention until it is released, costs imported fittings with freight and duty, and pays carpenters through a WPS salary file. Aqid ERP lays out the FTA's VAT 201 from the books, generates every invoice as signed PINT AE XML for the 2027 e-invoicing mandate and runs payroll in dirhams with a WPS salary file and end-of-service gratuity. The Growth plan fits, at AED 109 a month, with a 60-day free trial. Not built yet: Production in Aqid ERP is bills of materials and production orders only, with no routing, work centres or machine scheduling.

How it runs

Bills of materials

Write down what goes into a wardrobe, a reception desk or a kitchen unit: MDF and veneered boards, edging, hinges, runners and handles. Each finished item carries its recipe and its cost.

Production orders

A production order takes boards and hardware out of stock and puts the finished pieces in at their cost. When a piece is sold, that cost posts to cost of sales.

Fit-out jobs as projects

Tag stage invoices, subcontractor bills and site expenses to the job, and move the site carpenters' payroll cost onto it with a re-tag or an allocation journal. The job's P&L shows its margin before handover.

Retention kept in view

Hold back the retention the contract allows on a stage invoice. It sits in its own receivable until the client accepts the work and you release it, so it is never lost in the general balance.

A month at a joinery workshop in Sharjah (example)

  1. Say an office desk takes 2 MDF boards at AED 110.00, edging at AED 25.00 and hardware at AED 45.00: AED 290.00 of materials. A production order for 10 desks takes AED 2,900.00 out of stock and adds 10 desks at AED 290.00 each.
  2. You sell the 10 desks to a company for AED 850.00 each: AED 8,500.00 plus 5% VAT of AED 425.00, a total of AED 8,925.00. Cost of sales of AED 2,900.00 posts with the sale.
  3. On an office fit-out you invoice the first stage at AED 80,000.00 plus AED 4,000.00 VAT, AED 84,000.00. The contract holds back AED 8,000.00 as retention, so the client pays AED 76,000.00 now and AED 8,000.00 waits in the retention receivable.
  4. The glass partition subcontractor bills AED 24,000.00 plus AED 1,200.00 VAT, and AED 15,000.00 of the site team's payroll is moved onto the job. Its P&L shows AED 80,000.00 of revenue against AED 39,000.00 of cost so far.
  5. Payroll for the workshop runs in AED with a WPS SIF file and gratuity accrued, and the VAT 201 shows AED 4,425.00 of output VAT against Sharjah in box 1c, with AED 1,200.00 of input VAT claimed on standard-rated expenses.

The parts you will use

Manufacturing

Bills of materials, production orders, work in progress and disassembly, made for workshops and small plants. Growth or Premium.

Inventory

Boards, hardware and finished pieces in the workshop, the store and the showroom, at weighted average cost per warehouse, with transfers and stock counts.

Projects and cost centres

A P&L for every fit-out job from the invoices, bills and expenses tagged to it and the payroll cost moved onto it, with a revenue and cost budget to compare against.

Sales and retention

Quotes the client accepts online without an account, stage invoices, retention in its own receivable, and statements by email or WhatsApp.

Purchasing and landed cost

Purchase orders for boards and fittings, freight and customs duty spread over imported hardware as landed cost, and a second approver above your limit.

Payroll

Carpenters, polishers, installers and drivers in AED with a WPS SIF file, gratuity accrued monthly and expiry alerts for residence visas, work permits and passports.

VAT and e-invoicing for furniture and fit-out

Furniture sales and fit-out work are normally standard-rated at 5% (check any unusual contract with your adviser), and input VAT on boards, fittings and subcontractor bills is claimed with standard-rated expenses under the normal rules. Hardware imported by a registered business whose TRN is on the customs declaration has its import VAT declared in box 6 and recovered in box 10, so it stays out of the item's cost; freight and duty go into it.

Under the e-invoicing phases announced so far, invoices to companies, contractors and government must travel through an accredited service provider, from 1 July 2027 if your revenue is under AED 50 million; sales to households are outside them. Aqid ERP keeps signed PINT AE XML with every invoice, but it is not a provider and its connection to one is not yet live.

Questions

Can Aqid ERP run production in my workshop?

Yes, on Growth and Premium. Set up bills of materials, and production orders take materials out of stock and add finished goods at their cost. There is no routing, work centres or machine scheduling.

Can I see the profit on each fit-out job?

Yes. Tag invoices, bills and expenses to the job's project, move payroll cost onto it, and run its P&L next to its budget.

How is retention handled?

Hold back the retention on the stage invoice and it sits in its own receivable until you release it once the client accepts the work.

Do my invoices to villa owners need to be e-invoices?

Sales to individuals are outside the UAE e-invoicing phases announced so far, so a PDF by email or WhatsApp is fine for them. Invoices to companies and contractors are in scope from your phase date, 1 July 2027 below AED 50 million of revenue. Confirm your dates with the Ministry of Finance and the FTA.

How do I cost hinges and fittings I import?

Spread the freight and customs duty over the goods bill as landed cost, so they reach the item's weighted average cost. Import VAT is kept out of the cost: a registered importer declares it in box 6 and, where the normal rules allow, recovers it in box 10.

Does payroll produce the WPS file for my carpenters?

Yes, on every plan. Each run produces a WPS SIF salary file for your bank and accrues end-of-service gratuity on basic wage. Starter covers up to 5 employees; Growth and Premium have no limit. No bank has yet accepted an Aqid ERP WPS file, so test the first one with yours.
