How it runs

Instalments that bill themselves

An aligner, orthodontic or implant plan paid over months becomes a recurring invoice. It is issued on the same day each month and emailed until the plan ends, and carries a payment link once you connect a payment provider.

Lab bills set against the work

Bills from the dental lab for crowns, bridges and aligners are tagged to the dentist or the case, so the margin after lab cost is visible while the treatment is still running, not at year end.

A P&L per dentist or chair

Make each dentist, chair or branch a cost centre. Tag treatment revenue and materials to it and allocate salary cost from the payroll entry, by re-tagging it or with an allocation journal, so you can see which chair pays for itself.

Corporate patients on proper tax invoices

Walk-in patients get simplified tax invoices. An employer or insurer billed for its staff's treatment is a customer with its own statement, ageing and full tax invoices, and those invoices are the ones the 2027 e-invoicing mandate covers.

A month at a dental clinic in Sharjah (example)

  1. Say a patient starts aligner treatment priced at AED 14,400.00, paid over 12 months, and your adviser has confirmed the treatment is standard-rated. The recurring invoice is AED 1,200.00 plus AED 60.00 VAT, AED 1,260.00 a month, with a payment link.
  2. The dental lab bills AED 3,600.00 plus AED 180.00 VAT for the aligners, tagged to the orthodontist's cost centre. Over the plan the case shows AED 14,400.00 of revenue against AED 3,600.00 of lab cost.
  3. In the same month the clinic records AED 52,000.00 of other standard-rated treatment, with AED 2,600.00 VAT, and AED 38,000.00 of treatment set up as zero-rated. An employer is invoiced AED 12,000.00 plus AED 600.00 VAT for its staff; at AED 12,600.00 that is above the AED 10,000 limit for a simplified invoice, so it goes out as a full tax invoice.
  4. A materials supplier bills AED 8,000.00 plus AED 400.00 VAT. The VAT 201 shows AED 65,200.00 of standard-rated sales with AED 3,260.00 VAT in box 1c for Sharjah, AED 38,000.00 in box 4, and AED 11,600.00 of expenses with AED 580.00 VAT in box 9. Net VAT due is AED 2,680.00.
  5. The figures show the arithmetic only. Which treatments are zero-rated or standard-rated is for your tax adviser to confirm before you invoice.

VAT and e-invoicing for UAE dental clinics

VAT is 5%, and the VAT law zero-rates qualifying healthcare; whether a given treatment qualifies is a question for your tax adviser, not a rule this page can give you. Once the items are set up, standard-rated sales reach boxes 1a to 1g by the emirate of the branch, zero-rated ones box 4, and input VAT on lab and supplier bills box 9.

Under current guidance e-invoicing covers invoices to businesses and government, not sales to consumers, so your invoices to employers and insurers are in scope and patient receipts are not. A clinic under AED 50M appoints an accredited service provider by 31 March 2027 and transmits from 1 July 2027.

Each invoice is already signed as PINT AE XML and kept with it. Aqid ERP is not an accredited service provider, its connection to one is not yet live, and you type the VAT 201 into EmaraTax yourself.

Questions

Can a patient pay a treatment plan in instalments?

Yes. Set the plan as a recurring invoice; it is issued and emailed each month until the plan ends, with a payment link once a payment provider is connected.

Are dental treatments zero-rated for VAT?

The VAT law zero-rates qualifying healthcare, but whether each of your treatments qualifies is for your tax adviser to confirm. Aqid ERP applies whatever treatment you set on the item and reports it in the matching VAT 201 box.

Do patient invoices have to go through an accredited service provider?

Not under current guidance, which leaves sales to consumers outside the mandate. Invoices to employers and insurers are in scope: from 1 July 2027 for a clinic under AED 50M, with a provider appointed by 31 March 2027.

Does Aqid ERP keep patient records or appointments?

No. There are no patient charts, appointments or insurance claims. Keep your dental software for those and post the takings and invoices in Aqid ERP.

Can I track implant and material stock?

On Growth and Premium, yes, at weighted average cost. There is no batch, serial number or expiry-date tracking.

How is end-of-service gratuity worked out for our staff?

Under the 2021 Labour Law it is 21 days' basic wage for each of the first five years and 30 days for each year after, capped at two years' wage, with nothing due before a full year. Aqid ERP accrues it every month from the basic wage, so allowances do not count.
