How it runs

Each plan bills itself

A monthly membership is a recurring invoice issued on the same day each month and emailed to the member. You can share it on WhatsApp in one tap, and a payment link is added once you connect a payment provider. Unpaid invoices get automatic email reminders.

Annual fees earned month by month

A year paid up front goes to deferred revenue and is released one twelfth at a time, so January's profit and loss is not inflated by memberships that run to December.

Corporate plans for companies

Companies that buy memberships for their staff get a tax invoice in AED with the company's TRN, and the signed PINT AE XML is kept with it, ready for the day business invoices must go through an accredited service provider.

Trainers paid on the 1st

Trainers, front-desk and cleaning staff are paid in one monthly run in AED, with the WPS SIF file for your bank, gratuity accrued, payslips in two languages and a warning if the payday falls after the 1st. Trainer commission can be set as a percentage of sales.

A month at a gym in Ras Al Khaimah (example)

  1. Say your gym in Ras Al Khaimah has 180 members on a AED 350.00 monthly plan. The recurring invoices go out on the 1st: AED 63,000.00 plus 5% VAT of AED 3,150.00, AED 66,150.00 in all.
  2. Last month 15 members paid AED 3,600.00 each for a year, AED 54,000.00 that went to deferred revenue. This month AED 4,500.00 of it is recognised, and the same each month until the year is over.
  3. A local company signs a corporate plan for 25 employees at AED 300.00 each: a tax invoice of AED 7,500.00 plus AED 375.00 VAT, AED 7,875.00, with its PINT AE XML kept beside it.
  4. Drinks and supplements from the front shelf sell for AED 3,800.00 plus AED 190.00 VAT, with cost of sales posted at weighted average cost. The landlord bills AED 28,000.00 plus AED 1,400.00 VAT for rent, and equipment servicing costs AED 2,000.00 plus AED 100.00 VAT.
  5. Payroll for 10 trainers and 3 front-desk staff is set to pay on the 1st of next month, with the WPS SIF file produced and gratuity accrued for each of them.
  6. VAT for the month: output tax of AED 3,715.00 (3,150.00 + 375.00 + 190.00) less input tax of AED 1,500.00 leaves AED 2,215.00, all in the Ras Al Khaimah box of the VAT 201.

One monthly run in AED for every role, the WPS SIF salary file, end-of-service gratuity, commission rules and expiry notices for residence visas and work permits.

Supplements, drinks and merchandise as stock items that the browser till can sell by barcode, with counts and cost of sales on each sale. Growth or Premium.

Fixed assets

Treadmills, racks, studio fit-out and sound systems on the asset register, depreciated each month in one step.

Branches and cost centres

A profit and loss for each branch, ladies' section, studio or personal-training team, with payroll cost allocated to it.

VAT and e-invoicing for gyms in the UAE

Memberships, personal training and shelf sales are invoiced at 5% VAT, and the VAT 201 is laid out from the posted entries, each box opening to the invoices behind it. You type the figures into EmaraTax by the 28th day after the period ends; the layout has not yet been checked with a live filing.

Aqid ERP charges VAT on an annual fee on the invoice you issue, even though the revenue is recognised over twelve months; when exactly the tax falls due on a prepaid membership is a question to settle with your tax adviser. A simplified tax invoice is allowed for a member who is not VAT-registered or a sale of AED 10,000 or less.

Invoices to individual members are outside the e-invoicing phases announced so far. Corporate plans are business invoices: Aqid ERP already signs them as PINT AE XML, and a gym under AED 50M of revenue sends them through an accredited service provider from 1 July 2027, after appointing one by 31 March 2027. Aqid ERP's connection to a provider is not yet live.

Questions

Can Aqid ERP run our memberships?

As invoices, yes; as a membership system, no. Each plan is a recurring invoice issued and emailed on the same day each month, and annual fees go to deferred revenue. Freezes, class credits and check-ins stay in your gym app.

Do member invoices have to be e-invoices in 2027?

Invoices to individuals are outside the phases announced so far. Invoices to companies on corporate plans are in, from 1 July 2027 for a business under AED 50M. Aqid ERP signs each one as PINT AE XML today; transmission through an accredited service provider is not yet live.

When is VAT due on a membership paid for a year?

Aqid ERP charges VAT on the invoice you issue and releases the revenue monthly. Whether the tax is due at invoice or at payment for your prepaid plans is for your tax adviser to confirm.

Can I pay trainers a commission?

Yes. Commission can be set as a percentage of sales by salesperson or cost centre and paid in the monthly run, which also produces the WPS SIF file and accrues gratuity.

Can I see a P&L for each branch?

Yes. Tag invoices, bills and payroll cost to each branch or section and run the profit and loss for it. Each branch can also carry its emirate for the VAT 201.

Can I try it before paying?

Yes, with a 60-day free trial. Plans start at AED 77 a month before VAT, and migration help is free during the offer to 31 December 2026.
