Sign up as this kind of business and the books start with the accounts it posts to, beyond the country's chart:

  • 4110 — Wholesale sales
  • 5110 — Freight and customs on purchases
  • 5610 — Sales commissions

It also sets the invoice terms, whether prices include VAT, and the setup steps that matter for it. You can change it later, and nothing you have is removed.

In short

Aqid ERP is cloud accounting for UAE traders in tiles, sanitaryware, steel, cement and hardware. It keeps stock per yard and showroom, puts freight and duty into the cost of each import, sells to contractors on account with ageing, rings up walk-in buyers at a browser till, and lays out the VAT 201. Aqid ERP lays out the FTA's VAT 201 from the books, generates every invoice as signed PINT AE XML for the 2027 e-invoicing mandate and runs payroll in dirhams with a WPS salary file and end-of-service gratuity. The Growth plan fits, at AED 109 a month, with a 60-day free trial. Not built yet: Aqid ERP values stock at weighted average only, with no FIFO, batch or serial tracking.

How it runs

A warehouse for each yard and showroom

Each yard, store and showroom is its own warehouse with its own stock value. Move goods between them with a transfer and count each one separately.

The real cost of an import

Add the freight, clearing and customs duty bills to the shipment, and they are spread over the goods by value or quantity. The import VAT stays out of that cost, so the margin on each box of tiles is worked out on what it truly cost.

Contractors on account

Give each contractor a price list and a credit limit. Quote, take the order, deliver with a delivery note from the yard the truck leaves, and issue the tax invoice on 30 or 60 days; a sale over the limit can warn or be held for release. Cost of sales posts at weighted average cost.

Ageing you can act on

See which contractors are past 30, 60 and 90 days, share a statement on WhatsApp or email from the same screen, and let automatic email reminders chase overdue invoices.

A month at a building materials trader in Ras Al Khaimah (example)

  1. Say you import 1,200 boxes of porcelain tiles for USD 9,600. At 3.6725 that is AED 35,256.00. Freight is AED 2,600.00 and customs duty AED 1,744.00, so with landed cost the boxes enter the main yard at AED 33.00 each instead of AED 29.38. The import VAT is declared in box 6 and recovered in box 10, not added to the tiles.
  2. A contractor takes 700 boxes at AED 55.00 on 30-day terms: AED 38,500.00 plus 5% VAT of AED 1,925.00, a total of AED 40,425.00. The delivery note goes with the truck from the main yard, and AED 23,100.00 of cost of sales posts.
  3. You transfer 300 boxes to the showroom. Each location's stock changes and the total value stays the same.
  4. A walk-in buyer pays at the showroom till by card: AED 1,000.00 plus AED 50.00 VAT on a simplified tax invoice, since the buyer is not VAT-registered.
  5. At month end the ageing shows the contractor's AED 40,425.00 in the 0 to 30 column and an older AED 12,600.00 past 60 days. The VAT 201 shows AED 1,975.00 of output VAT against Ras Al Khaimah in box 1f.

The parts you will use

Inventory

Several warehouses, transfers, stock counts and weighted average cost per warehouse, with cost of sales posted on each sale. Growth or Premium.

Purchasing and landed cost

Purchase orders to bills, freight and duty spread over the goods, an AED approval limit for a second approver, and supplier payments released in a batch with a bank payment file.

Sales on account

Price lists per customer, credit limits checked when a sale is issued, quotes the contractor accepts online without an account, sales orders, delivery notes, tax invoices and credit notes for returns.

Point of sale

A till in the browser for counter sales that reads barcodes, keeps selling offline and closes each session with a cash count. Cash and card only.

Multi-currency

Supplier bills in USD, EUR or CNY, exchange differences on payment and month-end revaluation of open balances. Growth or Premium.

Branches and cost centres

Tag sales and costs to each branch or showroom for a P&L each; a branch in another emirate carries that emirate onto its sales for the VAT 201.

VAT and e-invoicing for building materials traders

Sales to contractors and the public carry VAT at 5%. When you import as a registered business with your TRN on the customs declaration, import VAT is accounted for in the VAT 201 instead of being paid at the border: declared in box 6 and, where the normal rules allow, recovered in box 10. Check box 6 against the figure the FTA pre-fills from customs data. Standard-rated sales are split by emirate, and a branch's emirate is taken from its settings.

Invoices to contractors and other businesses come under e-invoicing from your phase date: appoint an accredited service provider by 31 March 2027 and transmit from 1 July 2027 if your revenue is under AED 50 million. Counter sales to individuals are outside the phases announced so far. Aqid ERP keeps signed PINT AE XML with every invoice; it is not a provider, and its connection to one is not yet live.

Questions

Can I keep stock in more than one yard or showroom?

Yes, on Growth and Premium. Each location is a warehouse with its own stock, transfers between them, and its own stock counts.

How are customs duty and import VAT treated on my imports?

Customs duty and freight are spread over the goods as landed cost, so they are in the stock cost and your margin. Import VAT is not: a registered importer with its TRN on the declaration declares it in box 6 of the VAT 201 and, under the normal rules, recovers it in box 10.

Do my invoices to contractors have to be e-invoices?

Yes, once your phase starts: invoices to businesses travel through an accredited service provider from 1 July 2027 if your revenue is under AED 50 million, or from 1 January 2027 at AED 50 million or more. Aqid ERP already keeps the signed PINT AE XML; its provider connection is still in progress.

Can I scan barcodes or give contractors their own prices?

Both. A scanner or the device's camera reads barcodes at the till and on stock counts. A price list gives a contractor a fixed price per item, or a percentage on your own selling price, and fills it in on their quotes and invoices.

Does payroll cover my drivers and yard staff?

Yes. Monthly payroll in AED with a WPS SIF salary file, end-of-service gratuity accrued, and expiry alerts for residence visas, work permits and passports. Under Resolution 340 of 2026 wages are due by the 1st, and the run warns you if the payday is later. Growth and Premium have no employee limit.

Can you help me move from my current system?

Yes. Migration of items, customers, suppliers and opening balances is free during the offer to 31 December 2026, and you can start with a 60-day free trial.
