Which one to issue
- Tax invoice (standard): sales to businesses. It names the buyer, and in Phase 2 it is cleared by ZATCA before the buyer receives it.
- Simplified tax invoice: sales to consumers. It need not name the buyer, and in Phase 2 it is reported to ZATCA within 24 hours.
What a tax invoice must show
- The words "Tax invoice", the date of issue and a sequential number.
- The seller's name, address and VAT number.
- The buyer's name and address, and the buyer's VAT number when it has one.
- The date of supply, when it differs from the date of issue.
- Each item's description, quantity and unit price, and the VAT rate applied.
- The taxable amount, the VAT at each rate, and the total including VAT, in SAR.
- Arabic text; English or another language may stand beside it.
What a simplified tax invoice must show
- The date of issue and a sequential number.
- The seller's name and VAT number.
- A description of what was sold.
- The total including VAT and the VAT, or a statement that the total includes VAT.
- A QR code with the seller's name, VAT number, time, total and VAT.
Correcting an invoice
An issued invoice is never edited. A return, a discount after the sale or a mistake is corrected with a credit note (lowering the amount) or a debit note (raising it), each referring to the original invoice and stating the reason.
How Aqid ERP fills them in
Aqid ERP chooses the kind from the customer: a customer with a VAT number gets a tax invoice; a customer without one, and every cash sale, gets a simplified one. The required fields come from the company's and the customer's records, in Arabic and English, with the QR code, and a credit note can only be raised against an invoice already issued.
