How to track deals from lead to quote in the sales pipeline

The pipeline is a board of six stages: Lead, Qualified, Quoted, Negotiation, Won and Lost. Each card is a deal with a value, an owner and the next follow-up. Totals per stage are in your base currency.

Steps

  1. Add a deal

Under Sales → Sales pipeline choose New deal. Pick an existing customer or type the prospect's name and email, give the deal a value and, if you know it, a probability and expected close date.

  2. Work it

Open the deal and log each call, email, meeting or note. Give a follow-up time where one is due: the deal shows it, the list filters by it, and a reminder reaches the owner's inbox when it falls due.

  3. Move it along

Drag the card to its new stage, or choose Move to in the deal. Marking a deal Lost asks for the reason, which stays on the deal.

  4. Convert to quote

Choose Convert to quote: a draft quote opens for the customer (a prospect becomes a customer first), and the deal moves to Quoted. The deal is won on its own when that quote is accepted on the customer portal or converted to an invoice.

  5. Take leads from the website

On the pipeline page tick Website leads: people who leave their details in the website's tools arrive as deals at Lead, once each. It is off until you turn it on.
