How to record a customer advance and apply it to invoices
An advance is held in Customer advances (2160) until there is an invoice; then it is applied, oldest first, up to what the invoice still owes.
Steps
Choose the policy
Under Settings → Advances, choose what an issued invoice does with the customer's advances: Offered on the invoice, Applied at once, oldest first, or Left alone.
Record the advance
Choose New → New receipt voucher, pick the customer and the amount, and tick This is an advance (no invoice yet) before you save.
Issue the invoice
With Applied at once, approving the customer's next invoice takes what it can from their advances; whatever is left waits for later invoices.
Or apply it yourself
With Offered on the invoice, the issued invoice shows This customer has … in advances: choose Apply advance.
