Meaning
A journal entry (قيد يومية) records one transaction: the date, each account touched with its debit or credit, a reference to the document behind it, and a narration. Debits must equal credits before it posts. In accounting software most entries are made for you by the documents themselves, an invoice posting revenue, VAT and receivables in one go; the manual journal is for what has no document of its own.
That is the month-end work: depreciation, expenses incurred but not yet billed, prepayments released month by month, the end-of-service provision, bad-debt allowances, currency revaluation, and corrections. A posted entry is never edited; it is reversed by an opposite entry and re-posted, so the audit trail that ZATCA's record-keeping rules and any auditor expect stays whole.
Also called: journal entry · manual journal · قيود اليومية
Example
Equipment costing 120,000.00 is depreciated over four years, 2,500.00 a month. The October entry debits Depreciation Expense 2,500.00 and credits Accumulated Depreciation 2,500.00, narration "Equipment, October 2026, per asset register". Twelve such entries make the year's 30,000.00 in the income statement.
