What you get

Purchase orders to bills

The bill starts from the order, so quantities and prices are not typed twice.

An approval limit

Orders and bills at or over the amount you set wait for someone with the right to approve them.

Payment requests and batches

Request, approve and release supplier payments, and download the payment file for your bank.

Expense claims

Staff submit claims with receipts; the approved ones are reimbursed and posted.

Landed cost and supplier prices

Spread freight and customs over the items they brought in, and keep each supplier's last price.

Questions

Who can approve?

Anyone whose role carries the approve-payments permission. The person who submitted cannot approve their own.

Is withholding tax handled?

Where the country has it, yes: in Saudi Arabia, Qatar and Oman withholding on payments to non-residents is recorded on the bill by category and summarised for the monthly return, which you file with the tax authority.

Can I see what I owe each supplier?

Yes: supplier statements and the payables ageing, by supplier and by due date.

In Bahrain

The purchases part of the NBR return separates domestic standard-rated purchases, imports where VAT was paid or deferred at customs, imports under the reverse charge, and purchases from suppliers who are not VAT-registered. Check a supplier's registration before entering its first bill, because an unregistered supplier's bill sits on a different line. For imported goods, spread freight and customs over the items as landed cost, so the stock value includes what it cost to bring them in, in three-decimal dinars.
